Quick Text is the smaller helper: saved messages that agents insert into emails, chats and notes with a shortcut. Together they cut the time agents spend on routine work. In our Service Console guide, agents worked cases in one screen. In our Enhanced Chat guide, they answered parents in real time. Both tools fit right into that daily work.

In this post, you will learn how macros record and replay steps, which macros can be undone and which cannot, how bulk macros work, and how Quick Text uses merge fields. Then you will build a “Class Link Sent” macro and a set of quick text replies for Bright Path Tutors agents. You should know email templates from our email templates guide, because macros often insert them.

What are Salesforce Macros?

A macro is a saved set of instructions that runs on the record open in the Service Console. Each instruction is a step an agent would normally click, like “select the Email action”, “insert this template”, “set Status to Closed” and “send”. Then the agent runs the macro from the Macros utility in the console footer.

Quick Text is a library of short messages, such as greetings or answers to common questions. For example, agents type two semicolons, search for the message, and insert it. Merge fields fill in details like the parent’s name and the case number.

Here is a simple analogy. Think of the speed dial on a phone. So instead of typing a long number every time, you press one button. A macro is speed dial for a sequence of clicks. Quick text is like saved replies on a messaging app, ready to send with a tap.

Why Salesforce Macros Matter

Support teams answer the same questions every day. However, typing the same reply and clicking the same buttons wastes minutes on every case, and small mistakes creep in. As a result, customers get slightly different answers to the same question, depending on which agent they reach.

Here are some real situations at Bright Path Tutors.

Agents send the class link email and close the case about 50 times a day.

Every agent writes the refund policy in different words.

New agents forget to set the case reason before closing.

The support manager wants faster first replies on chat.

So macros and quick text make work faster and more consistent across the team.

How Salesforce Macros Work

The flow is simple. First, an admin or agent opens the Macros utility in the Service Console and creates a macro. Next, they record instructions in the Macro Builder by clicking through the steps on a sample record. Then they save the macro and share it with the team. After that, an agent opens a case and runs the macro from the utility. Finally, Salesforce replays each step on that case, such as inserting an email template, updating fields and sending.

How Salesforce Macros work: record instructions in the Macro Builder, save and share, then agents run the macro on a case in the console.

Quick Text, on the other hand, works inside text fields. The agent types ;; in an email, chat or note, picks a message, and Salesforce inserts it with the merge fields filled in.

Key Parts of Salesforce Macros

Macro Builder and instructions

First, the Macro Builder shows a sample record next to a list of instructions. You click on the page parts you want to use, like the Email tab or a field, and the builder adds each step to the list. You can reorder or delete steps later, so it is fine to experiment on a test case first.

Irreversible macros

Next, a macro that performs an action like Send Email or Submit cannot be undone. So Salesforce marks these macros with a special icon. Users need an extra permission to create macros that cannot be undone.

Bulk macros

Then some macros can run on many records at once from a list view. For example, this is useful for closing 30 duplicate cases together. Bulk macros need their own permission, and they suit simple field updates and emails.

Quick Text messages

Quick Text messages have a name, a message, a category and a channel, such as Email or Chat. So the channel decides where agents can insert the message.

Merge fields and sharing

Finally, Quick Text supports merge fields like {!Case.CaseNumber} and {!Contact.FirstName}. Also, you can share macros and quick text with folders, so each team sees its own library. For example, the finance team keeps its refund replies in a Finance folder.

The table below shows the tools we will build.

Item

Name

What it does

Macro

Class Link Sent

Sends the class link template, sets Status to Closed

Quick Text

Greeting

Hi {!Contact.FirstName}, thanks for contacting us

Quick Text

Refund Policy

Explains the 7-day refund rule

Quick Text

Class Timing

Shares where to find the timetable

Macros vs Quick Text

Both tools save time, but they work at different sizes. The table below compares them.

Feature

Macro

Quick Text

Scope

Several steps on a record

One message in a text field

Can update fields

Yes

No

Can send emails

Yes

No, it only inserts text

Where agents use it

Macros utility in the console

Typing ;; in a text field

Best for

Repeated end-to-end tasks

Common phrases and answers

In short, use Quick Text for common words.
