Admins do not need to write code to build a useful agent. In our advanced flows guide, you built autolaunched flows with inputs and outputs. Those flows are exactly what agents use as actions.

In this post, you will learn the main building blocks of an agent, how the agent decides what to do, how the trust layer protects data, and how to test before going live. Then you will plan and build a small “Course Helper” agent for the Bright Path Tutors sales team. Agentforce changes quickly, so menu names may differ in your org. The ideas, however, stay the same, and the Platform Administrator exam now includes them.

What is Agentforce for Admins?

Agentforce is the Salesforce platform for AI agents. An agent is a helper that understands a request in plain language, works out which task fits, and runs the right action. For example, a rep types “Which coding courses start next week?” and the agent runs a flow that finds them.

Admins build agents in Agentforce Builder. You describe the jobs the agent can do, write instructions in plain English, and connect actions such as flows. Salesforce has recently called these jobs subagents, and earlier help pages call them topics.

Here is a simple analogy. Think of a new receptionist at a school. You give them a list of jobs they handle, like admissions questions and fee receipts. You also give clear rules, such as “never share fees of other students”. Finally, you show them which forms to use. The jobs are subagents, the rules are instructions, and the forms are actions.

Why Agentforce for Admins Matters

Users ask the same questions every day, and many need a few clicks across several pages. However, an agent can answer in seconds and run the steps for them. For example, a rep no longer opens a list view, adds filters and sorts by date just to find next week’s batches.

Here are some real situations at Bright Path Tutors.

Sales reps ask which courses have seats left this month.

Support agents need a short summary of a long case history.

Managers want a quick list of deals closing this week.

Parents on the website ask class timing questions late at night.

So agents save time on routine work, while admins keep control of data and actions.

How Agentforce for Admins Works

An agent handles each request in a clear loop. First, the user sends a message, such as a question in the agent panel. Next, the reasoning engine reads the message and picks the best subagent based on its description. Then it follows that subagent’s instructions and chooses an action, like a flow. After that, the action runs with the right permissions and returns data. Finally, the agent writes a reply, and the trust layer checks it before the user sees it.

How Agentforce for admins works: a user message goes to the reasoning engine, which picks a subagent, runs an action and returns a checked reply.

The quality of your descriptions and instructions decides most of the agent’s behaviour. Clear, specific text gives clear, specific results.

Key Parts of Agentforce for Admins

Agent types

First, Salesforce offers ready agent types for common jobs, such as employee agents inside Salesforce and service agents on websites. You start from one, then change its jobs and actions.

Subagents and instructions

Next, each subagent covers one job, like “Course Schedule”. Its description tells the reasoning engine when to use it. Its instructions set rules, such as “Only show courses with a future start date”.

Actions in Agentforce for Admins

Then actions do the real work, because subagents and instructions only decide what to do. They can be flows, Apex classes, prompt templates or standard actions. Each action has a clear description and labelled inputs and outputs, so the agent knows when and how to use it.

Permissions and the agent user

Also, an agent can only use data and actions it has access to. Employee agents usually run with the user’s own permissions. Service agents on websites run as a special agent user, so give that user only what it needs.

Trust layer and testing

Finally, the Einstein Trust Layer protects data, for example by masking sensitive values and checking replies for harmful content. Builder also has a conversation preview and testing tools, so you can try many questions before going live.

The table below shows our planned agent.

Part

Value at Bright Path Tutors

Agent type

Employee agent for sales reps

Subagent

Course Schedule

Instruction

Show only courses that start in the next 30 days

Action

Flow: Get Upcoming Courses

Access

Reps’ own permissions

Agentforce for Admins: Agents vs Flows

Agents often use flows, so beginners ask why we need both. The table below compares them.

Feature

Agentforce agent

Flow on its own

Starts from

A plain-language request

A button, a record change or a schedule

Picks what to do

Yes, the reasoning engine decides

No, the path is fixed

Handles new wording

Yes

No

Predictable result

Mostly, with good instructions

Always the same

Best for

Conversational help and many small tasks

Fixed business processes

In short, build the business logic as flows. You need an org with Agentforce turned on, such as a Developer Edition with Agentforce.

Step 1: Build the action as a flow

Create an Autolaunched Flow called “Get Upcoming Courses”, as in our flow types guide.

Add a Get Records element on Course with Start Date between today and today plus 30 days.

Store the results in a record collection variable marked Available for output. Save and activate.

Step 2: Create the agent

In Setup, open Agentforce Agents and click New Agent.

Choose an employee agent type and name it “Course Helper”.

Step 3: Add the subagent and instructions

Add a subagent called “Course Schedule” with the description “Answers questions about courses that start soon”.

Then add the instructions from the table below.

Instruction

Use the Get Upcoming Courses action for any question about start dates.

Show course name, start date and fee in a short list.

If no courses match, say so and suggest checking next month.

Step 4: Connect the action and test

Add the flow as an action and write a clear description, such as “Finds courses starting in the next 30 days”.

Open the conversation preview and ask “Which courses start soon?”

Check the reasoning details to see which subagent and action ran. Then activate the agent.

Step 5: Check the data behind the answer

The agent’s answer should match a simple query on the same data.

SELECT Name, Start_Date__c, Fee__c
FROM Course__c
WHERE Start_Date__c = NEXT_N_DAYS:30
ORDER BY Start_Date__c

If the agent and the query disagree, fix the action description or the flow filter first, then test again. Also, ask the same question in three different ways, such as “next batches” or “what starts soon”. So you can be sure the agent picks the right action every time.

Common Mistakes with Agentforce for Admins

Vague descriptions. The reasoning engine picks the wrong subagent or action.

Too many jobs in one subagent. Split them, so each has a clear purpose.

Giving the agent user wide access. Service agents should see only public or needed data.

Skipping testing. Try many ways of asking the same question before go-live.

No owner for the agent. Someone must review conversations and update instructions.

Best Practices for Agentforce for Admins

Start with one small job. A single reliable subagent beats five weak ones.

Reuse tested flows. Flows you already trust make safe actions.

Write instructions like rules for a new hire. Short, clear and specific.

Review real conversations. They show where instructions need work.

Plan licences and usage. Agent usage has costs, so agree on limits with the business.

Practice Task

Add a second subagent, “Seat Check”, with an action that counts enrollments for a course. Then ask the agent how many seats are taken in Spoken English.

Hint: build an autolaunched flow with a course name input and a number output.

Agentforce for Admins FAQ

Do I need to code to build an agent?

No. Admins can build agents with flows, prompt templates and standard actions. Developers can add Apex actions when needed.

Can an agent see data the user cannot?

Employee agents work within the user’s permissions. Service agents use their own agent user, so its access matters.

Is Agentforce free?

Agentforce needs the right licences or usage credits. Check your contract before you plan a rollout.

Official Resources

Agentforce Basics (Trailhead)

Introduction to Agentforce Builder (Trailhead)

Agentforce Builder (Salesforce Help)

Quick Recap

Agentforce for Admins means building AI agents with clicks, not code.

Subagents describe jobs, instructions set rules, and actions do the work.

Flows make reliable actions that agents can call.

Permissions and the trust layer keep data safe.

Test many questions and review real conversations after go-live.

What’s Next?

You can now build a safe, simple agent.
