Instead of typing an amount by hand, reps add products with a quantity and price, and Salesforce works out the total. In our opportunities guide, you built a sales process for school deals. Now you will add courses as products to those deals, send a quote and see the numbers in a forecast.

In this post, you will learn how products, the standard price book and custom price books fit together, how opportunity products set the amount, and how quotes and collaborative forecasts build on them. Then you will set up a course catalogue for Bright Path Tutors with a special school price. This is the last post in our Sales Cloud basics, so it ties the earlier steps together.

What are Salesforce Products and Price Books?

First, a product is something you sell, like a course, a licence or a service. A price book is a list of prices for those products. Every org has one standard price book, and you can create custom price books for different customer groups, regions or currencies.

Then the link between a product and a price book is a price book entry. It stores the price of one product in one price book. So the same “Spoken English, 12 weeks” course can cost 9,000 rupees for parents and 7,500 rupees per student for schools.

Here is a simple analogy. Think of a restaurant with a normal menu and a special menu for corporate lunches. The dishes are the products. So each menu is a price book. The price printed next to each dish on a menu is the price book entry.

Why Products and Price Books Matter

Without products, reps type amounts by hand. As a result, nobody can report on which courses sell best, and prices drift from deal to deal. Products and price books keep prices consistent and make every deal easy to analyse.

Here are some real situations at Bright Path Tutors.

The sales manager wants revenue by course, not just by deal.

Schools get a lower price per student than parents.

A school asks for a formal quote as a PDF before signing.

The CEO wants a monthly forecast of expected revenue from every rep.

So products and price books turn opportunities from simple numbers into clear, detailed orders.

How Salesforce Products and Price Books Work

The setup follows a fixed order. First, you create the product. Next, you give it a standard price in the standard price book. Then you add it to any custom price book with a different price. Finally, a rep picks a price book on an opportunity and adds products, and the opportunity amount becomes the total of those lines.

How Salesforce Products and Price Books work: a product gets a standard price, then a custom price, then becomes a line on an opportunity, a quote and a forecast.

An opportunity can use only one price book at a time. So if a school deal uses the School Price Book, every product on that deal comes from that book. Also, once an opportunity has products, its Amount field is calculated from them and reps cannot type it directly.

Key Parts of Salesforce Products and Price Books

Products

First, a product has a name, a product code, a family and an Active checkbox. In practice, the family groups similar products, such as Languages or Coding. However, only active products appear when reps add products to deals.

Standard and custom price books

Also, the standard price book holds the default price of every product. In contrast, custom price books hold special prices for a group. Salesforce needs a standard price before a product can appear in any custom price book.

Opportunity products

Next, an opportunity product, also called an opportunity line item, is one product on one deal. It has a quantity, a sales price and an optional discount. For example, 40 students times 7,500 rupees gives a line total of 3,00,000 rupees.

Quotes

Then a quote is a formal price offer linked to an opportunity. For example, one opportunity can have several quotes, like a basic and a premium option. After that, you can sync one quote with the opportunity, create a PDF from a quote template and email it to the customer.

Collaborative Forecasts

Finally, Collaborative Forecasts roll up opportunity amounts by month or quarter for each rep and manager. Deals count in forecast categories like Pipeline, Best Case and Commit, which come from the stage. Managers follow the role hierarchy, as covered in our roles and sharing guide.

The table below shows the main objects and their API names, which help when you write reports or SOQL.

Object

API name

Stores

Product

Product2

What you sell

Price Book

Pricebook2

A list of prices

Price Book Entry

PricebookEntry

One product’s price in one book

Opportunity Product

OpportunityLineItem

One product on one deal

Quote

Quote

A formal offer for a deal

Products and Price Books: Standard vs Custom

Both kinds of price book store prices, but they play different roles. The table below compares them.

Feature

Standard price book

Custom price book

How many

Exactly one per org

As many as you need

Required for a product

Yes, first price goes here

No, optional

Typical use

List price for everyone

Special prices for a group

Example

Parent price, 9,000 rupees

School price, 7,500 rupees

Who uses it on deals

Any rep, if shared

Reps with access to that book

In short, put every product’s normal price in the standard price book. Name it “School Price Book” and tick Active.

Open the new price book, click Add Products, select all three courses and enter lower school prices, such as 7,500, 10,000 and 4,000.

Step 3: Add products to an opportunity

Open the Green Valley School deal and click Choose Price Book in the Products related list. Pick School Price Book.

Click Add Products, select Spoken English 12 Weeks and set Quantity to 40. Save.

Check that Amount now shows 3,00,000 and cannot be edited.

Step 4: Create and sync a quote

In Quick Find, type “Quote Settings”, tick Enable, and add the Quotes related list to the opportunity layout.

On the deal, click New Quote, name it “Green Valley Spoken English Offer” and save. The products copy across.

Click Start Sync, then Create PDF to preview the quote document.

Step 5: Query products and deal lines with SOQL

Developers can check prices in each book with this SOQL query.

SELECT Pricebook2.Name, Product2.Name, UnitPrice
FROM PricebookEntry
WHERE IsActive = true
ORDER BY Product2.Name, Pricebook2.Name

This second query lists the products on open deals.

SELECT Opportunity.Name, Product2.Name, Quantity, UnitPrice, TotalPrice
FROM OpportunityLineItem
WHERE Opportunity.IsClosed = false

TotalPrice is the quantity multiplied by the sales price, after any discount. So you can add up TotalPrice by product to see which courses bring the most revenue.

Common Mistakes with Salesforce Products and Price Books

Forgetting the standard price. You cannot add a product to a custom price book until it has a standard price.

Leaving products inactive. Inactive products do not appear when reps click Add Products.

Too many custom price books. Each one needs upkeep. Create one only for a real price difference.

Typing amounts on deals with products. The amount comes from products, so update the lines instead.

Syncing the wrong quote. Only the synced quote updates the opportunity products, so check which one is synced.

Best Practices for Salesforce Products and Price Books

Use clear product codes. Short codes like ENG-12 make reports and imports easy.

Group products with Product Family. Reports by family show which areas grow.

Review prices every year. Update entries before the new academic year starts.

Use quote templates with your branding. Customers trust a clean PDF more than a plain email.

Turn on forecasts only after stages are clean. Forecasts are only as good as stage and close date data.

Practice Task

Add a fourth product, “Public Speaking 6 Weeks”, with a standard price of 7,000 rupees and a school price of 5,500 rupees. Then add 25 seats to any school deal.

Hint: add the standard price first, then the School Price Book entry.

Salesforce Products and Price Books FAQ

Can one opportunity use two price books?

No. Each opportunity uses one price book. If you need prices from two books, create the deal on the right book or split it into two deals.

Do I need quotes to use products?

No. Products work on opportunities without quotes. Quotes only add a formal document and options for the customer.

Do Salesforce Products and Price Books support several currencies?

Yes. When multiple currencies are on, each price book entry can have a price per currency.

Official Resources

Products (Salesforce Help)

Collaborative Forecasts (Salesforce Help)

Sales Forecasting (Trailhead)

Quick Recap

Salesforce Products and Price Books record what you sell and at what price.

Every product needs a standard price before it can join a custom price book.

Opportunity products set the deal amount from quantity and sales price.

Quotes create formal offers and PDFs, and one quote can sync with the deal.

Collaborative Forecasts roll up amounts by forecast category and manager.

What’s Next?

That completes the Sales Cloud basics.
