Change sets then carry those finished changes from the sandbox into production. In our field history and audit trail guide, you learned how to see who changed what. Sandboxes help you avoid bad changes reaching real users in the first place.

In this post, you will learn the four sandbox types, how to log in to a sandbox, and how change sets move your work into production. Then you will follow a real example that moves a new Course field and validation rule from a sandbox to production. Every serious Salesforce team works this way, so this topic appears in almost every admin interview.

What are Salesforce Sandboxes?

A sandbox is a separate Salesforce org that is copied from your production org. Production is the live org where real users work with real data. A sandbox has the same setup, like objects, fields and automation, and sometimes a copy of the data too.

A change set is a package of setup changes that you send from one org to a connected org. For example, you build a new field and a validation rule in a sandbox, add them to a change set, and deploy that change set to production.

Here is a simple analogy. A sandbox is like a rehearsal stage in a theatre. Actors practise there until every scene is right. The change set is the truck that moves the finished set to the main stage on opening night.

Why Salesforce Sandboxes Matter

Building directly in production is risky. A wrong validation rule can block every user in the company. A broken flow can send hundreds of wrong emails in minutes. Sandboxes let you find these problems before anyone else sees them.

Here are some real situations.

You want to test a new approval process without real managers getting requests.

Users need training on a new page layout before go-live.

A consultant needs a place to build without touching live data.

You must test a large data load with real-looking data first.

Also, sandboxes keep a clear process. Changes go from build, to test, to production in a fixed order. This makes releases calm and predictable.

How Salesforce Sandboxes and Change Sets Work

A typical release follows the same path. First, you create or refresh a sandbox from production. Next, you build and test your changes there. Then you add them to an outbound change set and upload it to production. Finally, you validate and deploy it in production.

How Salesforce Sandboxes and change sets move a change from build and test into production.

Logging in to a sandbox

Sandboxes use a different login page: test.salesforce.com. Your username gets the sandbox name added at the end. For example, if your sandbox is called “uat”, your username changes as shown below.

Production username: asha.mehta@brightpath.com
Sandbox username: asha.mehta@brightpath.com.uat
Login page: https://test.salesforce.com

Your password is the same as in production at the moment the sandbox was created or refreshed. Also, Salesforce changes user email addresses in new sandboxes by adding “.invalid” to the end. This stops test emails from reaching real people. Also, bookmark the sandbox login page separately, so you never log in to production by mistake while testing. This simple habit saves a lot of confusion.

Refreshing a sandbox

A refresh replaces the sandbox with a fresh copy of production. Any work in that sandbox that you did not deploy is lost. So always deploy or save your work before you refresh.

Types of Salesforce Sandboxes

Salesforce offers four sandbox types. Which ones you get depends on your Salesforce edition. The table below compares them.

Type

What it copies

Data storage

Refresh every

Developer

Setup only, no data

200 MB

1 day

Developer Pro

Setup only, no data

1 GB

1 day

Partial Copy

Setup plus a sample of data

5 GB

5 days

Full

Setup plus all data

Same as production

29 days

Developer sandboxes suit building and unit testing. Partial Copy sandboxes suit testing with real-looking data. Full sandboxes suit final testing, training and performance checks.

The four types of Salesforce Sandboxes compared by data, storage and refresh time.

One important point for learners: a free Developer Edition org cannot create sandboxes. You will need a company org, or a paid edition, to practise the steps in this post. You can still read along and learn the flow.

Change Sets vs Manual Changes in Production

Some admins still click changes directly into production. The table below shows why change sets are the safer choice.

Feature

Change set from sandbox

Manual change in production

Tested before users see it

Yes

No

Easy to repeat the same change

Yes, clone and redeploy

No, click everything again

Record of what was deployed

Yes, in Deployment Status

Only in Setup Audit Trail

Risk of a typo in production

Low

High

Speed for a tiny change

Slower

Faster

So use change sets for anything that affects users or automation. A tiny, low-risk change, like a help text fix, may be fine in production, but follow your team’s rules.

Hands-on Example: Deploy a Field and a Rule with a Change Set

Let’s say you built a new “Max Students” number field and a validation rule on Course in a sandbox called “uat”. Now you want to move both to production.

Step 1: Allow inbound changes in production

Log in to production. In Setup, type “Deployment Settings” in Quick Find.

Click Edit next to the uat sandbox.

Tick Allow Inbound Changes and click Save.

Step 2: Build the outbound change set in the sandbox

Log in to the uat sandbox. In Setup, type “Outbound Change Sets” and open it.

Click New, name it “Course Max Students”, add a description, and click Save.

Under Change Set Components, click Add. Pick the component types and names from the table below.

Click View/Add Dependencies to check that nothing is missing, then click Upload and choose production.

Component type

Component name

Custom Field

Course.Max_Students__c

Validation Rule

Course.Max_Students_Required

Page Layout

Course Layout

If the field should be visible to users, also add their profiles in the Profile Settings section. Otherwise, new fields can arrive hidden.

Step 3: Validate and deploy in production

Log in to production. In Setup, open Inbound Change Sets.

Wait until “Course Max Students” appears, then click its name.

Click Validate. Salesforce checks that the deployment will work, without changing anything yet.

When validation succeeds, click Deploy. Track progress on the Deployment Status page.

When deployment finishes, open a Course in production. The Max Students field and its validation rule are now live.

Common Mistakes with Salesforce Sandboxes

Refreshing with undeployed work. A refresh wipes the sandbox. Deploy or note your changes first.

Forgetting dependencies. A page layout that uses a new field fails if the field is not in the change set.

Skipping the profile settings. New fields can deploy without user access, so users cannot see them.

Expecting change sets to delete things. Change sets only add or update components. Deletions must be done by hand or with developer tools.

Using real emails in testing. Check that test users and contacts do not have real email addresses before sending test emails.

Best Practices for Salesforce Sandboxes

Use one sandbox per purpose. Keep separate sandboxes for building, testing and training.

Name change sets clearly. Include the feature and date, like “Course Max Students May 2026”.

Always validate before deploying. Validation catches errors without touching production.

Deploy at quiet times. Release when few users are working, and tell them in advance.

Keep a simple release log. List what was deployed, when and by whom.

Practice Task

Write down the components you would need in a change set to move the “Course Discount Approval” process from our approval processes guide. Include its fields and email alert.

Hint: start with the Approval Process component, then click View/Add Dependencies.

Salesforce Sandboxes FAQ

Do Salesforce Sandboxes cost extra?

It depends on your edition. Most paid editions include some Developer sandboxes, while Partial Copy and Full sandboxes may need extra licences. So check your contract or ask your Salesforce account team.

Can I send a change set from production to a sandbox?

Yes. Change sets can move in either direction between connected orgs, as long as the target allows inbound changes. However, refreshing the sandbox is often simpler when you want production’s latest setup.

What do bigger teams use instead of change sets?

Many teams move to Salesforce DX and source control as projects grow. These tools track every change in files, which makes teamwork easier. We will cover them later in the developer track.

Official Resources

App Deployment module (Trailhead)

Create a Sandbox (Salesforce Help)

Change Sets (Salesforce Help)

Quick Recap

Salesforce Sandboxes are copies of production for safe building and testing.

Developer, Developer Pro, Partial Copy and Full differ in data and refresh time.

Sandbox logins use test.salesforce.com and add the sandbox name to usernames.

Change sets move setup changes from a sandbox to production.

Always validate first, include dependencies, and never refresh with undeployed work.

What’s Next?

Your release process is now safe.
